My Role & Strategic Approach

As Senior Experience Designer, I facilitated co-creation workshops for ideation and problem-definition, built paper prototypes with stakeholders, designed the interactive high-fidelity prototype in Axure, wrote the validation questionnaires, and moderated contextual inquiry sessions with manager-experts to understand how approval decisions actually got made under time pressure. Our visual designer led the redesign of the master detail view and the line item table once we had live travel data in the prototype, and together we synthesised findings with our Product Owner before handing off a development-ready concept.

The Approach

The core Job to be Done was clear: managers needed to judge whether a travel request was risky at a glance, without being finance experts. The design served that job through integrated data visualization and Co-Pilot's conversational help, while travelers got faster responses and better rebooking options when a request crossed budget. The flow ran: receive request, check current budget, ask clarifying questions, request extra budget if needed, approve.

What We Learned

The first prototype surfaced real friction: the three pieces of information managers actually needed for approval weren't clear, so we added trip dates directly to the notification panel. Managers told us they were too busy to search for alternatives themselves, so version two let them delegate that search to the traveler instead. We also learned people tried clicking Co-Pilot's suggestion card rather than typing, fixed in version two, and that while users tried the microphone icon, several admitted afterward they wouldn't discuss sensitive topics or colleague names by voice in an open office. We also corrected our forecasting model to use only the prior year's data, since reorganizations made five-year comparisons unreliable.


Outcome: a validated, development-ready concept and insight set, built through real iteration with the people who'd actually use it, not assumption.
